These Terms are between Pragmatic Safety Services Ltd., a company incorporated in British Columbia, Canada, with its registered office at 8927 117 Avenue, Fort St. John, BC V1J 6A5 ("Strawboss", "we", "us"), and the organization that creates a Strawboss workspace ("Customer", "you"). By clicking "I agree" at signup, or by using the Service, the person doing so confirms they have authority to bind the Customer.
1. The Service
Strawboss is a subscription software service for workplace health and safety records: forms and reports, incidents and investigations, training and orientation records, action items, equipment inspections, documents, and AI-assisted search and drafting. The Service is delivered through the web dashboard at app.strawboss.ai, the browser-installable field app, the Strawboss app for Android and iOS, and an API for connected assistants.
2. Accounts and users
2.1 The Customer designates an owner and may add admins, viewers and crew members ("Users"). The Customer is responsible for every User's compliance with these Terms and for keeping credentials confidential.
2.2 Crew members access the Service through an invitation issued by the Customer, or by registering in the Strawboss app with the email address the Customer recorded for them and choosing their own password. They are the Customer's workers or contractors, not Strawboss customers. The Customer creates, controls and removes crew accounts from the dashboard; a crew member cannot create or delete an account on their own. The Customer must ensure it has authority to enrol them and to collect the information the Service records about them.
2.3 The Customer must notify [email protected] promptly of any unauthorized use of its workspace.
3. Subscription, fees and trials
3.1 Fees are stated in US dollars per seat per month, billed monthly or annually in advance through Stripe. Current pricing is published at strawboss.ai. Prices do not include taxes. The card issuer may convert the USD charge and apply its own fees.
3.2 Each new Customer receives one free trial of the length shown at signup, with no card required. When the trial ends, the dashboard becomes read-only until a subscription is purchased: records already entered can be viewed, but nothing can be added, changed or exported, and field access is suspended. Full access resumes on payment. Design-partner invitations may carry different trial terms, which are stated on the invitation.
3.3 A seat is every dashboard user plus every crew member with field access, counted once per email address. Records-only personnel do not use a seat. Seats added during a term are charged immediately, prorated to the current renewal date. Seat reductions take effect at the next renewal and create no refund; unused capacity may be removed sooner from Billing without a refund. One billing interval applies to every seat; a change of interval takes effect when the paid term ends.
3.4 Fees are non-refundable except where required by law. After a failed renewal charge, access continues for a grace period of three days while the card is retried; if payment is not received the workspace is locked until it is. A failed first payment does not extend a trial.
3.5 AI features consume an allowance included with the subscription. Additional allowance may be purchased. Allowance does not roll over unless stated.
4. Customer Data
4.1 "Customer Data" means everything Users enter into or upload to the Service, including personal information about workers, witnesses, subcontractors and other individuals.
4.2 The Customer owns Customer Data. The Customer grants Strawboss a licence to host, process, transmit, display and back up Customer Data solely to provide and support the Service, and to produce de-identified, aggregated statistics that cannot identify the Customer or any individual.
4.3 The Customer is the controller of Customer Data and Strawboss is the processor. The Customer is responsible for having lawful authority and any required notices or consents to collect and store the personal information it enters, including health and injury details, photographs, location data and voice recordings. The Data Processing Addendum forms part of these Terms.
4.4 Strawboss will not sell Customer Data, use it to train machine-learning models that serve other customers, or disclose it except as the DPA and Privacy Policy describe.
4.5 The Customer may export its data at any time from Settings. Retention on termination is set out in section 10 and the DPA.
5. AI features
5.1 AI features generate drafts, summaries, answers and suggestions from Customer Data and public regulatory sources. Output is assistance for a qualified person, not professional advice. It may be incomplete or wrong. The Customer must review AI output before relying on it, filing it, or acting on it, and remains solely responsible for its safety program, its regulatory obligations and the decisions it makes.
5.2 Strawboss does not warrant that any output, template, checklist or regulatory reference is current, complete, or sufficient to satisfy any law, regulation, standard, audit or certification, including WorkSafeBC, COR or any other program.
5.3 AI features send Customer Data to the AI providers listed in the DPA for the sole purpose of generating the output requested.
6. Acceptable use
The Acceptable Use Policy forms part of these Terms. In summary: no unlawful content, no attempts to breach security or another tenant's data, no scraping, no resale, no use of the Service to harass or surveil individuals beyond legitimate workplace safety purposes.
7. Confidentiality and security
7.1 Strawboss maintains administrative, technical and physical safeguards appropriate to the sensitivity of Customer Data, described in the DPA.
7.2 Strawboss will notify the Customer without undue delay after confirming a security breach affecting Customer Data, and will provide the information the Customer reasonably needs to meet its own notification obligations.
8. Intellectual property
The Service, its software, templates, form library, course library and documentation belong to Strawboss or its licensors. The Customer receives a non-exclusive, non-transferable right to use them during the subscription. Feedback may be used by Strawboss without obligation.
9. Third-party services
The Service depends on hosting, payment, email, push notification and AI providers listed in the DPA. Their availability is outside Strawboss's control. Connected assistants that the Customer authorizes through the API act on the Customer's instructions.
10. Term, suspension and termination
10.1 The subscription renews automatically until cancelled from Billing settings. Cancellation takes effect at the end of the paid period.
10.2 Strawboss may suspend a workspace for non-payment, a material breach of these Terms or the AUP, or a security threat, with notice where practical.
10.3 The Customer should export its data before closing the workspace. After closure, records are retained but inaccessible unless the Customer's owner requests permanent deletion, which is verified by email and runs after a 14-day grace period. Strawboss will also delete Customer Data on the Customer's later written request, subject to backups that expire on their own schedule and records Strawboss must keep for legal, billing or audit reasons. Ninety days after closure Strawboss deletes a retained workspace without a request, after emailing the owner at least 30 days before, unless the Customer has asked in writing for the records to be held for a legal reason.
11. Warranties and disclaimers
Except as expressly stated, the Service is provided "as is". Strawboss disclaims all implied warranties, including merchantability, fitness for a particular purpose and non-infringement. Strawboss does not warrant that the Service will be uninterrupted or error-free, or that it will prevent injury, loss or regulatory action.
12. Limitation of liability
12.1 To the maximum extent permitted by law, Strawboss's total liability arising out of or related to these Terms or the Service, whether in contract, tort or otherwise, is limited to the fees paid by the Customer in the twelve months before the event giving rise to the claim.
12.2 Strawboss is not liable for indirect, incidental, special, consequential or punitive damages, lost profits, lost data that the Customer could have exported, regulatory fines assessed against the Customer, or personal injury arising from the Customer's operations.
12.3 The limits in this section do not apply to a party's fraud, gross negligence or wilful misconduct, to the Customer's payment obligations, or to the Customer's indemnity in section 13.
13. Indemnity
The Customer will defend and indemnify Strawboss against third-party claims arising from Customer Data, including claims that the Customer collected or entered personal information without lawful authority, and from the Customer's breach of these Terms or applicable law.
14. Changes to the Service and these Terms
Strawboss may change the Service. Material changes to these Terms will be posted at strawboss.ai/terms with a new version date and emailed to workspace owners at least 30 days before they take effect. Continued use after the effective date, or clicking "I agree" when prompted, accepts the new version. Acceptance is recorded with the version, time and network address.
15. Governing law and disputes
These Terms are governed by the laws of British Columbia and the federal laws of Canada applicable there. The courts of British Columbia have exclusive jurisdiction, and each party attorns to them. This applies to every Customer, wherever located. Nothing prevents either party from seeking injunctive relief in any court to protect its intellectual property or confidential information.
16. General
Entire agreement; severability; no waiver; assignment only with consent except to a successor; notices to [email protected] and to the owner's email on file; force majeure; English language controls over translations.

Strawboss app terms, updated October 18, 2026
These app terms supplement the Terms of Service for authorized users of the Strawboss app for Android and iOS. They do not reduce non-waivable consumer or privacy rights. "Desktop app" means the Strawboss dashboard your employer uses. Your employer's subscription and your assigned permissions determine which features are available. Your employer's administrator creates your account in the desktop app, pays for your seat and controls the account, including signing your phone out, deactivating the account or removing it. You register by confirming your work email with a code and choosing your own password. The app offers an optional PIN lock in Settings, with biometric unlock where supported by your device. The app lock does not change your Strawboss account password. The app contains no purchases, subscriptions or advertising. Account deletion is described in the Privacy Policy and at strawboss.ai/account-deletion.
Mobile licence and stores.
Pragmatic Safety Services Ltd. grants an authorized user a limited, non-exclusive, non-transferable licence to use the app on devices they own or control, subject to these Terms and applicable store usage rules, including permitted Family Sharing or volume-purchase use where applicable. Do not redistribute, sell, reverse engineer or defeat security protections except where applicable law expressly permits it. Respect applicable third-party terms, including your mobile carrier's data agreement.
For an Apple download, the agreement is between you and Pragmatic Safety Services Ltd., not Apple. Strawboss is responsible for the app, its content, maintenance and support. Apple has no obligation to provide maintenance or support. If the app fails to conform to an applicable warranty, you may notify Apple, which may refund any purchase price paid for the app. To the maximum extent permitted by law, Apple has no further warranty obligation; other applicable claims, losses or expenses remain the developer's responsibility.
Strawboss, not Apple, addresses claims relating to the app or its possession or use, including product liability, failure to meet legal or regulatory requirements, and consumer-protection or privacy claims. Strawboss is responsible for investigating, defending, settling and discharging third-party intellectual-property claims concerning the app. Apple and its subsidiaries are third-party beneficiaries of these mobile terms and may enforce them.
You represent that you are not in a country subject to a US government embargo or designated by the US government as supporting terrorism, and are not on a US government prohibited or restricted-party list, to the extent required by applicable store terms and law. Nothing here excludes rights that cannot lawfully be excluded. For a Google Play download, the applicable Google Play terms also govern your use of the store; Google is not your workplace safety provider or the operator of Strawboss.
Offline work, permissions and communications.
A report saved on your phone has not necessarily been received by your employer. Check synchronization results and resolve items requiring attention. Background sync is subject to device scheduling, connectivity, permissions and workspace access. Do not delete the app or clear its data before confirming important work has been received. Device and carrier data charges may apply.
Camera, microphone, photo-library, speech, location and notification features depend on compatible devices and permissions. Optional permission choices can be changed in device settings. Disabling a feature may limit the associated workflow. Push delivery and AI chat are not guaranteed emergency communications. Follow your workplace emergency procedures and contact local emergency services when needed.
Sofia is AI and may make mistakes. You are responsible for reviewing answers and proposed next steps. Opening a suggested destination does not itself submit a report, change a setting, sign a document or complete training. Use the actual workflow and its confirmation to perform those actions.
When you explicitly attach files and press Send in Sofia, you instruct Strawboss to process those files and relevant conversation through Anthropic to answer your request, including follow-up questions or retries using the latest attached files. Only submit content you have authority to share. Attachment analysis does not file a workplace report, publish a document or change employer records. The in-app Privacy Policy explains file processing, local history, deletion and provider sharing. No separate first-use attachment notice is shown. AI can misread documents and images; verify its answer against the original material.
Terms, privacy notices and support are available from Settings inside the app. Contact Pragmatic Safety Services Ltd., 8927 117 Avenue, Fort St. John, BC V1J 6A5, Canada; [email protected].
Using Sofia and AI-assisted tools.
Sofia is available throughout the app. AI processing starts when you explicitly send a message or attachment, or use an AI-assisted tool. Opening the app does not automatically submit your files. Messages and files you submit may be processed by Anthropic and the providers described above to answer your request. Review answers before acting. Your organisation manages your workspace subscription; trial or subscription expiry can pause field access without deleting saved work.
